Creating an experience! The guide to getting the event location right

An event isn’t just creating the opportunity to get people together, it’s about creating memories and magic. Therefore, it’s important to make sure the venue space is the right fit for the event. The space you choose can make or break your event, and there are a lot of factors that need to be taken into account. Here are our top five tips for finding the best event location.

1              Know your needs!

It’s important to establish your objectives early. Who will be attending, what the event will be, how many will be attending, the entertainment and how the event will be marketed. All this will help to establish the budget you’re working towards. The event’s date needs to be decided on, and how long you anticipate the day or evening to run for. Once you have your needs in place, you can then find the perfect location.

2              Location, location, location

It’s all about the location. It needs to have the ‘wow factor’. The venue sets the stage for your event and can determine its success. Before you visit a venue, it’s a good idea to read the reviews of previous events. This way, it may help with any questions about the event or highlight any concerns.

It’s also important to ascertain the transport links and accessibility. It might be advantageous to have access to a secure car park. The choice of venue will also be determined by the event itself. If it’s a wedding, you may prefer a beautiful countryside view, whereas if it’s a corporate event, you might want the venue to be centrally located.

3              Table plan

It’s a good idea to plan seating arrangements and capacity during a site visit. Whilst visiting, it should be possible to see the room itself laid out, or at least images of it. It’s important to check if the venue offers flexible seating arrangements. Check if the areas not being used for seating are big enough to accommodate networking areas, entertainment, or exhibits.

4              Event technology

The ultimate goal of a successful event is to have attendee engagement. The right lighting, sound and vision will help do this. Many venues include sound and lighting facilities, but often extras will need to be added depending on the size and requirements of the event. If it is a corporate event, it is worth considering the services of a specialised engineer to operate the technology.

5             It’s all in the detail

Make it a showstopper. Whatever the event, think about what you want people to associate with the brand. Amazing entertainment, ambiance, good company, a ‘wow’ venue and delicious food. Food is an important element of events; people will always remember and discuss what they were served long after an event has happened. So, whether its canapes and cocktails, a breakfast seminar, working lunch or a sit-down meal or buffet, make sure the quality is excellent and dietary requirements are catered for.
